Vita Global Sciences is currently seeking a Program Coordinator who will report into the Program Manager of Kelly’s Functional Service Provider (FSP) product which provides centrally managed workforce solutions to clients across the US. The FSP program supports positions in Regulatory Affairs, Clinical Operations, Medical Affairs, Data Management and others.
Program Coordinator acts as a liaison between recruiters and client stakeholders during recruitment; assists with onboarding new employees; supports employees in matters of time approval, expense report processing, PTO tracking, and basic HR needs; and supports the FSP program as needed.
RESPONSIBLITIES
- Recruitment Engagement
- submit new requisitions to trigger recruitment
- review job description parameters with recruiters and submit questions to client; share client feedback with recruiters
- coordinate candidate interviews with client and recruiters
- track client names/branches, respective openings (job title, date opened), and candidates submitted (names, dates)
- Invoicing
- send ongoing invoice adjustments (i.e. expense report reimbursements) to Billing Department for employee pass-through expenses
- complete purchase order requests using established process and through matrix team
- follow established RACI for other areas related to invoice and payroll management
- Create template invoices per customer requirements or in client systems as needed submitting invoices for payment when necessary
- Review invoice changes and share feedback to shared services teams (PO, PTO, Hours worked etc)
- Onboarding New Employees
- submit offer packet to candidate (Offer Letter, time & expense instructions, holiday schedule, etc.)
- collect offer letter & travel release form (as appropriate) and share Day 1 instructions with candidate
- submit salaried employee’s exempt request (as appropriate)
- coordinate onboarding and Screening processes
- Supporting Current Employees
- act as first POC for basic HR support (payroll, PTO, etc.)
- review and approve time sheets
- approve and track PTO
- submit bonuses
- if planned (e.g. 6mo, 1yr, per Offer Letter, etc.), track and submit without prompting
- if requested, submit accordingly
- approve & submit expense reports to Payroll, and update respective clients’ monthly invoices
- submit employee termination paperwork
- send birthday emails
- other duties as assigned
QUALIFICATIONS
- Minimum Associate degree from an accredited institution
- Previous experience as a Kelly Services employee is preferred
- Must be detail oriented, technologically savvy, independent, and capable of working in a flexible environment
- Very comfortable using Microsoft Word, Excel, and Outlook
- Very strong oral and written communication skills
- Able to manage a variety of daily tasks at a continuous pace
Base pay range for this position is $65,000 - $68,000 per year. Final annual compensation will be based on experience and may vary by geographic location.
